We are looking for an Executive Assistant to join our team based in Central Auckland.
The role is a key support role based on trust and partnership with the Executives to understand the needs of the business.
It requires ability to act as a cultural carrier and systems thinker, creating impact in all areas of responsibility.
The purpose of this role is to contribute to the success of Tower by supporting, enabling, and empowering our Executive Leadership Team members.
You will be primarily working with the Executive across reporting, planning, scheduling and organisation tasks to ensure time and attention is focused on business goals, priorities and projects.
What you will do
- Anticipate the needs of the needs of the Executives, as well as the broader business unit function and proactively communicate and contribute.
- Significant and rapid calendar management in a fast-paced, changing environment.
- Manage travel arrangements and meeting arrangements, including setting up virtual meetings.
- Manage procurement, expense approvals, employee data, reporting and on/ offboarding of employees, partnering with stakeholders as required.
- Provide systems support and training, promoting the use of Office 365 functionality to drive efficiency and collaboration.
- Create high quality reports, templates and presentations that are visually engaging and comply with brand guidelines.
- Plan the Executive’s workshops, offsites, morale events and space moves, including supporting the Executive’s Leadership Team with organising internal/ external events and supporting Tower community events.
- Manage special projects for Executives, including ownership of the necessary budgets, travel, logistics, communication and stakeholder updates.
- Foster the development of a team culture and spirit within the business units and teams supported. Proactively engage with leaders throughout Tower with openness to lean in, learn and guide.
- Establish and maintain effective working relationships with the Executive Assistant team and close connections with business partners including Risk, Legal, Finance and People & Culture to ensure compliance, drive efficiency and monitor team health.
- Exercise judgement and maintain integrity and professionalism when working with confidential and sensitive information.
- Proactively keep Executives updated on matters affecting them, having a sense what’s happening across Tower.
The right candidate needs to demonstrate:
- Experience supporting high-level executives
- Exceptional organisational skills, including ability to prioritise and coordinate work with stakeholders
- Abilities to understand business priorities to support Executives and ensure time spent in the most efficient way.
- Strong MS Office, Outlook, Word, Excel, PowerPoint and Visio skills.
For the right candidate, we offer competitive salary between $80,000 - $110,000, with hours of work 37.5 per week.
