Purchasing/​Supply Officer

**Job Overview** 

As a Purchasing/Supply Officer, you will oversee the studio's supply chain operations, ensuring that all photography equipment, materials, and client products are sourced, stored, and delivered efficiently. You will collaborate with suppliers, logistics partners, and internal teams to maintain optimal stock levels, control costs, and support daily business activities.

Please note that you will be required to work flexible hours, including weekends and public holidays.

**Key Responsibilities** 

- **Inventory Management:** Monitor and maintain stock levels of photography equipment, studio supplies, and client products (e.g., photo prints, frames, albums). 

- **Supplier Coordination:** Develop and maintain strong relationships with vendors, negotiate contracts, and ensure timely procurement. 

- **Logistics & Distribution:** Oversee shipments, deliveries, and the proper storage of materials across multiple studio locations. 

- **Order Processing:** Manage purchase orders and ensure the timely delivery of goods in coordination with suppliers and internal teams. 

- **Cost Optimization:** Identify opportunities for cost savings while maintaining quality standards. 

- **Compliance & Documentation:** Maintain accurate records of purchase orders, supplier agreements, and invoices according to company policies. 

- **Cross-Functional Collaboration:** Work closely with photography, sales, and operations teams to align supply chain activities with business needs. 

- **Problem-Solving:** Address and resolve supply chain disruptions efficiently to prevent any impact on operations.

**Qualifications & Skills**   

- Minimum of 1 years of experience in procurement, inventory management, or supply chain operations. 

- Or holding at least a Diploma qualification in supply chain management, Logistics, or a related field.

- Strong organisational and problem-solving skills with excellent attention to detail. 

- Proficiency in Microsoft Office (Excel, Word, Outlook) and inventory management software. 

- Ability to analyse data, forecast supply needs, and plan accordingly. 

- Strong communication and negotiation skills for dealing with suppliers. 

- Ability to work in a fast-paced, creative environment while managing multiple tasks. 

- A full, unrestricted driver’s license is essential for this role.
